Job Title: Business Office Manager

Location: Pittsburgh, PA

The Business Office Manager provides direct supervision to Business Office personnel, manages client billing activities (including electronic billing), and oversees the day-to-day operations of accounting functions including payables, receivables, reimbursements, and IOLTA accounts. The Business Office Manager serves as a subject matter expert related to the firm’s billing practices, financial systems, and related procedures.

Responsibilities

  • Maintain the highest level of professionalism at all times when interacting with internal and external customers. Demonstrate a positive attitude and commitment to quality customer service.
  • Contribute to a positive team environment by demonstrating a strong work ethic, effectively communicating with others, and proactively anticipating attorney and client needs.
  • Oversee the client billing process including preparation of pre-bills, paper billing, electronic billing, and the appeals process.
  • Take responsibility for complex billing activities or requests (one-time or ongoing), and serve as the escalation point for new, complicated, or elevated billing issues.
  • Evaluate billing needs and client requirements for incoming lateral hires (or groups), and integrate new attorneys and clients into the firm’s billing processes.
  • Establish, monitor, enforce, and improve billing policies and procedures to balance the need for procedural consistency with flexibility to solve billing issues.
  • Provide the tools, training, and information needed for Business Office staff to perform their job functions and to encourage quality customer service.
  • Control and maintain records related to petty cash distribution.
  • Assist in the review and reconciliation of credit card accounts.
  • Ensure effective recordkeeping systems are established and consistently followed to meet the firm’s standards.
  • Prepare regular and ad hoc reports for internal and external reporting.
  • Partner with the Collections Manager and provide information to support timely and efficient receivable/collections efforts.
  • Ensure cross-training of Business Office personnel to meet the department’s operational and coverage needs.
  • Perform personnel management activities including interviewing and selection, preparing performance evaluations, reviewing timecards, resolving morale or training concerns, and addressing performance issues.
  • Use good judgment in alerting or elevating issues of importance to the Director of Finance & Operations.
  • Coordinate with the IT Department as needed to ensure correct set-up of users in billing and accounting systems, and related to department software upgrades.
  • Establish goals and metrics for areas of responsibility, and manage others to achieve goals.
  • Complete special projects and other assignments as requested by supervisor or other members of firm management.

Job Requirements

  • Bachelor’s Degree in Accounting, Business, Finance, or other relevant areas of study, or comparable experience.
  • Billing and/or accounting experience, preferably in a law firm or other professional services environment. At least two years of experience supervising others or serving in a lead role which included performance management responsibility.
  • Strong problem-solving, multi-tasking, and prioritization skills. Ability to effectively communicate with all organizational levels. Able to interact with diverse personalities and handle difficult people and situations. High degree of accuracy, attention to detail, and follow through. Demonstrate a methodical approach and remain calm in high-pressure situations. Strong customer service orientation. Able to work cross-functionally to resolve problems and advance projects. Mathematical, procedural, and technical aptitude. Discretion in the handling of sensitive information. Computer skills including MS Office applications, billing software, timekeeping systems; understanding of database concepts.

Equipment, Physical/Mental Demands, Working Conditions

Personal computer and other office equipment such as telephone, typewriter, calculator, fax machine, duplicating machine, etc.

Sitting for extended periods, standing, bending, stooping, and reaching. Occasional lifting up to 20 pounds. Manual dexterity sufficient to operate standard office machines. Range of hearing and vision sufficient to operate standard office machines and communicate in person and via telephone with internal and external customers.

Able to deal with stress in a fast-paced work environment with multiple priorities. Make decisions and adapt to changing work situations. Grasp and apply new ideas and technologies. Communicate and successfully interact with various personalities at all organizational levels.
