About the Job
Answer multi-line phone system and receive clients, visitors, and other guests of the firm. Announce or escort visitors as appropriate. Field questions and requests from internal and external contacts, and direct to appropriate individuals or departments. Provide excellent customer service in a friendly and professional manner. Interact with all levels of the organization and work as a team to provide the highest level of hospitality. Serve as the point of contact for security guards. Assist with occasional administrative projects as needed.
- High school diploma or equivalent.
- Experience in a professional office environment strongly preferred.
- Demonstrated commitment to providing excellent customer service. Excellent communication skills including command of the English language. Ability to effectively interact with all organizational levels. Ability to develop an immediate rapport with clients and other callers/visitors. Able to demonstrate flexibility and initiative, and anticipate what needs to be done. Can understand and follow specific, detailed instructions. Attentive to detail and highly accurate. Professional manner with clients, attorneys, and others. Can remain calm under pressure and during difficult situations. Possess basic PC skills including familiarity with MS Outlook and Word.
Equipment, Physical/Mental Demands, Working Conditions
Personal computer and other office equipment such as telephone, typewriter, calculator, fax machine, duplicating machine, etc.
Sitting for extended periods. Manual dexterity sufficient to operate standard office machines. Range of hearing and vision sufficient to operate standard office machines and frequently/continually communicate with clients in person and via telephone.
Able to deal with stress in a fast-paced work environment with multiple priorities. Make decisions and adapt to changing work situations. Grasp and apply new ideas and technologies. Communicate and successfully interact with various personalities at all organizational levels.
