Position Summary

The Western Region includes: Pittsburgh, Cleveland, Huntington, Indiana, Wheeling (approximate headcount 190)

Regional Office Managers are responsible to oversee office operations and legal support staff in multiple regional locations. The Eastern and Western Regional Office Managers collaborate to ensure firmwide consistency, efficiency, cost management, quality improvement, and customer service across areas of responsibility. As members of the firm’s management team, Regional Office Managers also participate in various projects and firm initiatives.

 

Essential Job Functions

 

Overall management of operational areas including Office Services (mail, shipping, printing, duplicating, scanning, office supplies); Facilities (space, maintenance, leases, renovations, moves); and Operations (storage, conference rooms, reception, hospitality, security, parking).

s  Develop, implement, and maintain procedures and workflows

s  Establish policies and standards that ensure smooth operations

s  Resolve elevated customer service and operational issues

s  Pursue improvement in terms of efficiency, quality, customer service, and cost management

s  Manage vendor and landlord relationships

 

Oversight of secretaries and paralegals to meet attorney support needs, ensure adherence to firm standards and expectations, and contribute toward optimal productivity and efficiency.

s  Understand various practice areas and relevant workflows in regional offices

s  Maintain awareness of individuals’ workloads, strengths, weaknesses, and motivations

s  Ensure proper distribution of billable (paralegal) and non-billable (secretarial) work

s  Coordinate secretary/attorney assignments and workload distribution

s  Ensure secretaries properly delegate work to the Production Center and other support services

s  Monitor paralegal hours and address shortfalls or other issues

s  Manage the casual paralegal pool

 

Execute supervisory responsibilities for operational and legal support staff.

s  Operations work schedules, PTO approval, and coverage

s  Timecard review for operations, paralegals, and secretaries

s  Performance management including annual evaluations, coaching, and progressive discipline

s  Participate in staffing decisions including hiring, termination, and staffing levels and deployment

s  Coordinate and/or provide training, professional development, and communication

s  Understand and apply personnel policies, and escalate issues to HR when appropriate

 

 

Requirements

Education: Bachelor’s Degree in relevant discipline or comparable experience. Continuing education in business, law firm management, or other relevant topics.
Experience: At least seven years of experience in a multi-faceted management role, including oversight of people and operations. Law firm or other professional services experience strongly preferred; experience in a defense litigation firm a plus. Experience in a matrixed organizational structure and with remote supervision.
Knowledge, Skills, and Abilities: Proven ability to multi-task and easily shift focus among competing priorities. Exceptional organizational and prioritization skills. Demonstrated ability to work independently to complete projects and lead others to accomplish goals. Highly reliable with follow-through and follow-up. Maturity, emotional intelligence, discretion, and good judgment in terms of decision making and issue escalation. Personnel management abilities including tactical planning and oversight, employee relations, performance management, staffing, and training and development. Strong written and verbal communication skills. Technical abilities to identify workflow efficiencies and ensure technology is being leveraged. Capable of solving problems with strong analytical, creative, and behavioral prediction skills. Ability to establish and maintain rapport with diverse personalities. Assertiveness to address difficult issues and people. An example to others with regard to work ethic, commitment, professionalism, and customer service.

Supervisory Responsibilities: Supervision of operations personnel, and oversight of paralegals and secretaries.
Equipment to be Used: Personal computer and other office equipment such as telephone, keyboard, calculator, scanner, duplicating machine, etc.
Typical Physical Demands: Sitting for extended periods, standing, bending, stooping, and reaching. Occasional lifting up 20 pounds. Manual dexterity to operate standard office machines. Range of hearing and vision sufficient to operate standard office machines and communicate via telephone. Ability to travel by car and airplane to various firm locations.
Typical Mental Demands: Able to deal with stress in a fast-paced work environment with multiple priorities. Make decisions and adapt to changing work situations. Communicate and successfully interact with various personalities at all organizational levels.
Working Conditions: Typical office setting, normally Monday through Friday business hours. Ability to travel to regional offices on a regular basis.
